Photo Specification

Two recent passport size color photographs with matt or semi matt finish, 80% face coverage, white background and without border (Size: 35mm x 45mm).

Please Note: Photograph should not be more than 6 months old, scanned/stapled and should not be used in any of the previous visas.

Covering Letter

Covering-letter from the company on its letter head mentioning applicant's name, designation, passport number, purpose & duration of visit, name and address of the company he intends to visit. The letter should be duly signed by authorized signatory along with his name, designation & company stamp and should be addressed to – The Visa Officer, Embassy of Sweden, New Delhi.

Invitation Letter

An Invitation Letter from Swedish host / inviting Company on its letter head mentioning applicant's name, purpose of visit, duration of stay and date of visit. The letter should be duly signed by the authorized signatory along with his name and designation.

Airline Reservation

Ticket Itinerary.

Accommodation Proof

Hotel Reservation.

  1. The accommodation details along with the contact number should be mentioned on the invitation letter in case the host company is taking care of the accommodation.
  2. Hotel booking should match with the ticket dates.

Medical

Travel Medical Insurance for the stay duration amounting to 30,000 Euros.

Please Note: Insurance has to be done by the Authorized Insurance Companies.

Financials

Self Employed

  1. Original Bank statement for last 3 months duly stamped and signed. Bank statement should be on A4 Size Paper.
  2. Company registration certificate.
  3. Proof of Proprietorship / Partnership deed (in case applicant is partner in the firm).
  4. Income tax declaration for the last two assessment years.

Employed

  1. Original Bank statement for last 3 months duly stamped and signed. Bank statement should be on A4 Size Paper.
  2. Three months salary slip.
  3. Credit Card copy/Foreign Exchange endorsement/Traveler’s Cheque.
  4. Company's Registration certificate.
  5. Income tax declaration for the last two assessment years.
Please Note:
  1. In case of visit being sponsored by the company, sponsorship letter with full details required.
  2. All the documents should be provided only in A4 size sheet.

Authorization Letter

Applicant should provide an authorization letter authorizing Nitin / Vinod / Abhishek from Insight Visa Consultancy Vacations Private Limited to submit and collect documents.

Passport Collection Process

With immediate effect, Embassy has announced that representatives cannot collect the documents on behalf of applicant from Sweden Visa Application Centres except in following conditions:

  1. Immediate family member (that is Parents, Children, Spouse).
  2. One member of a family group collecting the passports of the whole family.
  3. A person collecting on behalf of Government officials if authorized on the Government letter head or department.

If any of the above comes for passport collection they need to carry the following documents:

  1. Original Government ID card.
  2. Original ICR.
  3. Original authorization letter from applicant.

However, applicants who do not wish to collect their documents in person & whose documents cannot be collected by one of the above, will get their passports back by courier at an additional cost of Rs. 300/- to the dispatch address mentioned in the Covering-Letter which has to be submitted along with the visa application.

Please Note:
  1. Embassy may ask for any additional documents or may call the applicant for the interview.
  2. If applicant is holding a valid Sweden visa in his old passport, he can travel to Sweden with the same by carrying his new passport along with the old passport.

New Procedure for Schengen Visa Applications

With immediate effect, Indian citizens travelling to Schengen countries for short-term (max 90 days in 180 days) will have to visit VFS visa application centre personally to provide biometric data (fingerprints and digital photograph). For subsequent applications within next 5 years the biometric data will be copied from the previous visa application included in the VIS.

Invitation Letter

Invitation letter from shipping company along with the below mentioned documents:

  1. Flagship of vessel.
  2. Exact time of arrival and exact time of departure of the vessel.
The invitation letter should be attested by the Harbour master port captain where the seaman is expected to join the vessel.

Letter of Guarantee

A letter of guarantee from shipping company in India along with the following documents:

  1. Original & Copy of seaman’s record book.
  2. Original CDC Booklet (Continuous Discharge Certificate).
  3. Copy of signed Contract between the seaman and the shipping company / employer.

Reference's Supportive

Your reference's proof of identity (personbevis) not older than 90 days. If reference is not a Swedish citizen, you must enclose a copy of his/her passport (First and last page) and showing what kind of permit he/she has in Sweden.

If you are related to the reference person: proof of your kinship, such as the last page of your Indian passport (with information on mother/father/spouse), birth/marriage certificate or similar have to be provided.
