Schengen Visa Application Form: One visa application form duly filled and signed on column 37 and main column.

Photo Specification: Two recent passport size coloured photographs with matt or semi-matt finish, 60%-80% face coverage, white background and without border (Size: 35mm x 45mm).

2. One photo should be pasted (not stapled) on the form and the other photo to be given along with the application.

Covering Letter: Covering Letter from applicant on company’s letterhead stating his name, designation, passport number, purpose and duration of visit, duly signed by authorized signatory and addressed to – The Visa Officer, Embassy of the Grand Duchy of Luxembourg, New Delhi.

Invitation Letter: Invitation Letter from Luxembourg host / inviting Company on its letterhead stating the purpose of travel and duration of stay and should be duly signed with signatory’s name and designation.

Airline Reservation: Ticket Itinerary.

Please Note: Ticket date should be with a gap of minimum 10 days from the date of submission.

Proof of Accommodation: Hotel confirmation for the entire period of stay as per the tour itinerary.

Please Note: Hotel should match the ticket dates and maximum stay should be in Luxembourg.

Medical: Overseas Medical Insurance for the stay duration amounting to 30,000 Euros to be submitted in original along with the photocopy.

Please Note: Insurance has to be done by the Authorized Insurance Companies.

Financials:

1. Company’s and Personal I.T.R for last 02 years.
2. Original Company and Personal Bank Statement for last three months mentioning the Bank’s name, Bank’s Telephone Number clearly with seal & signature.
3. The bank statement which has to be submitted should be on A4 size sheet.
4. Salary slips for last three months.

Indian Company: Indian Company should provide proof of existing commercial relationship, if it has already done business with the inviting company in Luxembourg like Business Contract, Bill of Lading etc.

For First Time Traveler: Following documents apart from the above mentioned documents need to be submitted along with the application.

1. Company Registration Certificate / Certificate of Incorporation.
2. Brief Company Profile.
3. Articles of Memorandum (In case the applicant is MD/Director).
4. Proof of Proprietorship / Partnership (In case applicant is Proprietor / Partner in a firm).
5. Import / Export License (if applicable).
6. Ownership proof.

Authorization Letter: Applicant will have to submit an authorization letter authorizing Insight Vacations Private Limited to submit and collect documents.

Please Note: Applicants applying from VFS centre other than Delhi have to pay additional charges of Rs. 258 for Courier Service.

New Procedure for Schengen Visa Applications: With immediate effect, Indian citizens travelling to Schengen countries for short-term (max 90 days in 180 days) will have to visit VFS visa application centre personally to provide biometric data (fingerprints and digital photograph). For subsequent applications within next 5 years the biometric data will be copied from the previous visa application included in the VIS.

Services:

1. Arrange appointment for biometrics at VFS centres as per applicants’ convenience.
2. Offer expert guidance on the documentation for the relevant visa application.
3. Provide ‘Meet & Assist’ service at VFS centres by our Schengen specialists (24x7).

1. Leave Sanction Letter from school including phone number and address of school.

In case of Minor

1. An NOC by parents, ITR and Bank Statement.
2. If one of parents is accompanying the minor then an NOC attested by notary has to be submitted by the other parent.

For First Time Traveler: Following documents apart from the above mentioned documents need to be submitted along with the application.

Self Employed

1. If Minors under the age of 18 if traveling alone have to provide a written consent certified by public notary of both parents or guardians having the custody of the minor. If traveling with one parent only, a written consent certified by public notary of the other parent or guardian is required.
2. Applicant has to come personally for submission as no agents are authorized to submit tourist visa applications.
3. Applicants applying from VFS centre other than Delhi have to pay additional charges of Rs. 258 for Courier Service.

Ticket: Confirmed ticket reservation with all flights confirmed proving the transit port of entry is Belgium.

POINT A

Applicants who already have the original authorization to stay and/or letter issued by the Immigration Department of the Ministry of Foreign Affairs in Luxembourg must present the following documents:

Schengen Visa Application Form Long Term: Two visa application forms duly filled and signed on column 37 and 38.

Please Note: Applicant mobile number should be mentioned in visa form as Embassy / Consulate can contact the applicant at any point of time during visa processing.

Photo Specification: Four recent passport size color photographs with matt or semi-matt finish, close up of your head and top of your shoulders so that your face takes up 70–80% of the photograph, white background and without border (Size: 35mm x 45mm). One photo should be pasted (not stapled) on the form, one on a copy of the form and the other photo to be given along with the application.

Please Note: Photograph should not be more than 6 months old, scanned/stapled and should not be used in any of the previous visas.

Passport: Passport valid for at least 6 months from the date of travel to Luxembourg and with at least 2 blank pages available + 1 copy of the bio data pages of the passport.

Ticket: A copy of the confirmed ticket to Luxembourg or the confirmation of the reservation.

Authorization to Stay: Authorization to stay (original) and/or letter issued by the Immigration Department of the Ministry of Foreign Affairs in Luxembourg.

Overseas Medical Travel Insurance: Valid for all Schengen countries for a minimum duration of 3 months and a minimum coverage of 30,000 Euros for all risks like accident, urgent medical attention, emergency hospital treatment and repatriation. This insurance is not required if the applicant can prove that before the arrival in Luxembourg, he/she is covered by an insurance through the future employer/spouse/family member (e.g. certificate from “Caisse Nationale de Santé”).

Please Note: Insurance has to be done by the Authorized Insurance Companies.

POINT B

Applicants who do not have the original authorization to stay and/or letter issued by the Immigration Department of the Ministry of Foreign Affairs in Luxembourg must present the same documents as under point A + the documents as mentioned below:

Application for Family Reunion:

1. Marriage certificate or proof of family link to the person residing in Luxembourg in case of family reunion (Apostille).
2. Police clearance (casier judiciaire) (Apostille).
3. Birth certificate (Apostille).
4. Certificate of residence in India.
5. Certificate of residence of family member in Luxembourg.
6. Copy of ID or passport of the family member in Luxembourg.

Application to Stay for Work:

1. Letter from future employer (original).
2. Police clearance (casier judiciaire) (Apostille).
3. Birth certificate (Apostille).
4. Certificate of residence in India.
5. Proof of residence after the arrival in Luxembourg.

Application to Stay for Students:

1. Letter of acceptance from the university / proof of admittance in a higher education institution (original).
2. Proof of academic qualification (diplomas, certificates).
3. A confirmation letter from the Indian institution/university.
4. Police clearance (casier judiciaire) (Apostille).
5. Birth certificate (Apostille).
6. A parental authorization for the case that the student has not yet reached the age of 18.
7. Medical/repatriation insurance covering the whole period of stay.
8. Proof that the student disposes of enough resources during the studies covering residence charges and return charges. Resources must be 80% of the actual guaranteed minimum income in Luxembourg. (Guaranteed social minimum is 1,025.25 € on 1 January 2013).

Note:

1. Please note that this is not an exhaustive list. You may be required to provide additional documents. Visa applicants may also be required to appear for a personal interview at the Embassy of Luxembourg in New Delhi. You are advised to submit your long stay visa application well in advance prior to the scheduled departure to Luxembourg.
2. All the above mentioned documents should be submitted in two sets, one set - Original & one set - Photocopy.
